What is the service? 

The DBS job role process is a service we offer where our DBS specialist team will fully assess your eligibility for higher level DBS checks (Standard/Enhanced). We work with you to confirm if your roles are eligible against the relevant legislation. 


Please note that without legal justification, you cannot request a Standard or Enhanced check, which means you cannot ask candidates to disclose information about their spent convictions.


We provide this service as part of our mission to make the world a more honest and safer place.


What is the difference between Basic, Standard and Enhanced DBS? 

A Basic DBS check provides details of unspent convictions, cautions, reprimands and final warnings. This check can be run on anyone provided you have their consent.


Please note a DBS Job Role is not required to place Basic checks.


A Standard DBS check provides details of spent and unspent convictions, cautions, reprimands and final warnings or states that there are no such convictions (subject to filtering rules). The position must be included in the Rehabilitation of Offenders Act (ROA) 1974 (Exceptions) Order.


Please note a DBS Job Role is required to place Standard Checks. 


An Enhanced DBS check provides details of spent and unspent convictions, cautions, reprimands, and final warnings, subject to filtering rules. It also checks information held by the police and confirms whether the applicant is on the list of people barred from working with children or vulnerable adults. The position is covered by The Police Act 1997 (Criminal Records) and The Safeguarding Vulnerable Groups Act 2006.


Please note a DBS Job Role is required to place Enhanced Checks.

What is the requirement for the job title on the certificate?

Contrary to popular belief, the job title on a DBS certificate does not need to precisely match the job title at your company. The crucial aspect of the DBS check is ensuring that the appropriate level is verified for your employee. While some organisations do require the certificate job title to align with their company's job title, this is not a mandatory requirement and can be accommodated if necessary.


What is a Job Role? 

A job role is an approved role our DBS specialist team adds to your Verifile account once they confirm eligibility against DBS legislation. Once approved, this job role will not require review or modification unless there is a change in responsibilities, or the DBS questions the eligibility.


What is a Generic Job Role? 

A generic job role is a single role that can be used to cover multiple different job titles. These can be added onto your account sooner than multiple bespoke roles. You will also benefit from having smaller list to select from when ordering and placing Standard/Enhanced checks.


For example, we have roles available, such as:


• FCA / PRA Approved Person for anyone under the FCA’s Senior Managers Regime (SMR)


• Health Professional (Child&Adult), Health Professional (Adult), Health Professional (Child) for any member of staff who is or working under a registered health professional.


• Non-Teaching Staff (Schools) for anyone working in a school on more than 3 days in any 30-day period with opportunity for contact with children but not in a teaching role.

The Verifile DBS Job Role service provides assessments for Standard and Enhanced checks for candidates and comprehensive management of your job roles. What is the process for the DBS Job role service? 

• When a standard or enhanced level check is required, you can inform us via email to 

[email protected] or through our Onboarding team.


• Our DBS specialist team will acknowledge your request and schedule a Microsoft Teams call or reach out by email to gain a greater understanding of your requirements to tailor our support.


• To ensure we capture all the information required to assess the job roles, we will request you to complete a simple spreadsheet. 


• We will also provide a list of generic DBS job roles that can be added to your account if your roles meet the same descriptions and legislative wording.


• Once we have all the required information for the current request, our DBS specialist team will assess the job roles and provide an expected turnaround time based on the volume of roles submitted for review. 


• After the assessment is complete, a breakdown of your roles will be issued for your review and approval prior to making live on your customer portal.


• We will send confirmation once the roles are available on your account, allowing you to easily place standard or enhanced checks with your DBS job roles.
