Bullhorn: Verifile Integration and Usage Guide

Introduction

Through this integration, employers using Bullhorn can seamlessly initiate background checks on candidates via Verifile without leaving the Bullhorn platform. This enhances compliance, reduces manual data entry, and accelerates time-to-hire.


The integration simplifies the screening process for recruiters. It ensures secure and compliant data handling, leveraging Verifile’s accredited screening services. By automating key steps and reducing manual tasks, the partnership significantly improves hiring efficiency. It also delivers a candidate-friendly experience through transparent communication and faster turnaround times, helping organisations build trust and act quickly to onboard top talent.

How to set up 

Let's set up the integration. Connecting Bullhorn with Verifile is a seamless experience. The integration is built and maintained by our team and is free for our customers. The process consists of sending setup details to Verifileenabling the integration and activation.
  
Verifile needs you to supply the Corp ID, API Username and Password, Client ID and Client Secret. Please ask Bullhorn support to give you this information, and then send it to Verifile using PrivateBin as described below: 


Send Your Details to Verifile via PrivateBin

PrivateBin is a free website that lets you send messages privately and securely. The message disappears after a while, and only people with the link can see it. 


  1. Go to the PrivateBin website and type your setup information into the large text field in the middle of the page. 
  2. At the "Expires" option, select 1 day. This means how long the message should stay online. After this time, the message will automatically disappear.    
  3. Click on the “Create” option. This creates your message and encrypts it (makes it secure). 
  4. Please copy the link that appears, it is the only way to see the message.    
  5. Share the link with Verifile support contact. Only our team with the link can read the message. Safe and easy 


Now that you know how to use PrivateBin, let´s recap all the integration setup information.
  • Name and e-mail
  • Your Corp ID 
  • Your API Username and Password 
  • Client ID 
  • Client Secret 
Verifile will take care of the rest on their end — creating the necessary user in their system and configuring the integration using secure API access. You will be notified once everything is up and running!


Packages 

When using the Verifile background screening integration in Bullhorn, it's essential to understand how the available packages are displayed during the Place Order process.


Where do the packages come from?
Packages are retrieved directly from Verifile. Once the integration set-up is complete, packages will be visible when placing an order for a candidate. If no packages are shown, contact your Verifile support contact.


Ongoing Support

This integration typically runs smoothly with very little ongoing maintenance. If anything goes wrong (e.g., issues placing orders), Verifile will investigate and support you accordingly.

Place Order

To place an order, follow these steps:
  • Go to the Candidate list, select the Verifile tab, and click Place Order.
  • Fill in the details requested, such as Company, Package, Job Title, Purpose of Check and Employment Sector.


If the background check package you order includes a Standard or Enhanced DBS check, you must select a value from the Verifile DBS Job Role drop-down list.

If the package includes a basic DBS check, you must select values from the Verifile DBS Purpose of Check and Verifile DBS Employment Sector drop-down lists.

Once completed, click the Submit button. Orders are placed immediately on the Verifile system; you will see a VF order number appear on the page.


After that, an email will be sent to the candidate from Verifile to initiate the verification process. It’s essential to clearly inform the candidate that Verifile will contact them.
The candidate will need to provide personal information and complete the necessary steps through the Verifile candidate portal.






Background Check Results 

After all checks have been completed, the order will have a status of Completed, and the Verifile final report can be accessed within Bullhorn.

You will need a Verifile system login or SSO (single sign-on) access to the Verifile system to access the final report.

To find this, go to the Candidate list, select the Verifile tab and access the candidate's profile to see the updates. There is a button to access the Verifile Report. Just click and access the Final Report. If you need to place a new order, follow the steps in the Place Order section.





Tracking Progress

To review the updates, navigate to the Candidate list, then access the candidate profiles and select the Verifile tab.

There you will see the profile and real-time updates. You can also press the Refresh icon at the top of the page to see updated information.
The order statuses shown in Bullhorn exactly match the order statuses on the Verifile system. If you need any assistance, please reach out to your Verifile support contact.

Cancel Order

It isn't possible to make changes to the Verifile order that has already been placed.

If you need any assistance, please reach out to your Verifile support contact. Once Verifile has cancelled the order, the updated status at Bullhorn will be Failed.

You can then place another order for that same candidate if needed. Follow the steps in the Place an Order section.
