What Is A Linked Order?

A linked order is a secondary order for a candidate who is already in the system.

Please note, for a linked order, it will be the client who will enter the required information to add on further check(s) for the candidate.

A linked order refers to when there is an already completed order where you, as the client, may wish for further checks to be completed on this candidate, but do not wish for the candidate to re-complete the online screening form.


How is this useful?

When an order is linked, the candidate does not have to re-complete the online screening form. The system will transfer all information from the previous order to this new order. This allows for ease of access and for the order to be submitted to us much quicker. 


Please kindly note, if any changes are made on the new linked order to the personal information sections the previous order will also be updated with this information.



How to add a Linked order?

  1. Log into the Verifile client portal and click ‘Review your orders’. 
  2. Click on Verifile number for your candidate.
  3. Click ‘Place a new order for this candidate’. 
  4. You’ll find that the fields are pre-populated with the information which is already submitted about your candidate.
  5. Click ‘Next’ until you reach the ‘Checks’ page.
  6. Select the check(s) which you wish to order. Click ‘Next’.
  7. At this stage, it is useful to open a new tab and have the original file open for the candidate, so you can answer questions which haven’t been pre-populated.
  8. Continue to proceed to the next page until you see that a new VF number has been generated. This means you have placed the order.
 
Please note that if it provided you with a system option to ‘view’ or ‘choose’ the past order for the candidate, select neither option but click ‘Next’ to proceed.

However, if the original order was placed some time ago or you wish to add names/addresses, these should be placed as standalone, not linked to ensure the original information is not affected.


When can a linked order not be used?

If you are placing a new order via candidate entry, when you input the candidate's details, you will see the below pop up:

Select neither option but click ‘Next’ to proceed.

Additionally, a linked order cannot be used when a 'Digital Identity Check' or 'UK Criminal Record check' is needed for the new order.

Please note that candidates must complete the digital process for the UK digital identity or UK right to work (digital and conditional) checks through the Yoti/EasyID app before submitting their background screening form, as part of the digital process.

Therefore, you will not be able to link your new order with a previous order that has these checks 'Digital Identity Check' or 'UK Criminal Record check'. If you place a linked order for 'Digital Identity Check' or 'UK Criminal Record check' to a previous order that does not include these checks, there will also be errors.  

 

All Digital Identity Checks and UK Criminal Record Checks has be placed as a new separate order.
